Administrative Coordinator
Program Support Specialist

Organization Overview:

Action for Healthy Kids is a national grassroots organization specifically addressing the epidemic of overweight, undernourished and sedentary youth by focusing on changes at school. Action for Healthy Kids is a public-private partnership of more than 60 national organizations and government agencies representing education, health, fitness and nutrition, which support the efforts of the 51 Action for Healthy Kids Teams (in all states and the District of Columbia) made up of more than 9,000 volunteers. Administrative Coordinator

The Administrative Coordinator provides administrative support to the executive director and senior staff; responsible for day-to-day operations of the general office needs. Primary duties include, but are not limited to:
  • Provides general administrative assistance for the office including answering phones, filing, and faxing; responding to external inquiries about the organization and it's programs, referring callers to appropriate AFHK staff;
  • Provides administrative support and organizational assistance on projects, events and conferences;
  • Assists with coordination of meetings for Board of Directors, Strategic Advisory Committee, Partners and Action for Healthy Kids Teams;
  • Organizes and coordinates mailings including mail merges;
  • Orders office supplies and maintains sufficient office supply inventory;
  • Assists with composing, editing and typing of reports, memos and other documents;
  • Acts as point of contact for building and other vendors as appropriate;
  • Assists with the coordination of meetings and events;
  • Processes employee on-boarding and termination paperwork,
  • Coordinates travel for staff;
  • Effectively and proactively communicates with individuals within and outside of the organization;
  • Manages weekly accounting process.
  • Updates information as necessary on website and internal databases
  • Works with the Executive Director and staff on special projects as assigned;
Hours and Status: Non-exempt (hourly) position, Monday through Friday, 8:30 AM to 5:00 PM

Location of position: Action for Healthy Kids office, 4711 Golf Rd; Suite 625 in Skokie, IL.


Qualifications/ Requirements:
  • Two years of experience performing administrative support within a fast-paced non-profit environment;
  • Strong organizational skills, communication, editing, and interpersonal skills;
  • Advanced skills in the use of Microsoft Office Suite, specifically Word, Excel, PowerPoint and Outlook;
  • Excellent follow-through skills to ensure all deadlines are met;
  • Ability to work as part of a fast moving staff team
  • Highly attentive to detail;
  • High level problem-solving and system development skills commensurate to position
  • Reliable and flexible;
  • Resourceful, self-motivated, proactive and able to relate to individuals in a team-like manner

Program Support Specialist

The Program Support Specialist reports to the Director, Partner Programs. The position exists to support the Partner program and relationship management for a growing base of Partner organizations; support new Partner recruitment and relationship management for key programs; oversee and carry out activities and tasks to successfully implement key partnership programs.
Primary duties include, but are not limited to:
General Partner Support Responsibilities
  • Assist in researching, identifying and implementing new partnerships and joint projects for specified programs;
  • Contact Partners to gain their commitment to support key programs;
  • Ongoing communications outreach and relationship management support for key programs;
  • Provide administrative support and organizational assistance on Partner projects, events and conferences;
  • Maintain and update Partner membership and newsletter databases; prepare new member orientation letters and material;
  • Act as a secondary contact for select Partners;
  • Assist with composing, editing and typing of reports, memos and other documents;
  • Coordinate travel for Director Partner Programs; external contacts presenting at Partner conferences;
  • Effectively and proactively communicate with individuals within and outside of the organization;
  • Perform other administrative duties as assigned by supervisor.
Key Program Coordination
  • Serve as primary point of contact for key program Community Relations staff and secondary point of contact for other key program staff;
  • Coordinate and communicate with key program staff as well as internal AFHK team members to implement key program activities at the local level and to support national events;
  • Carry out activities related to product elements of program; as needed: vendor management, creation, production, fulfillment, shipping and tracking;
  • Maintain budget and other records related to key program.
Hours Monday through Friday, 8:30 AM to 5:00 PM

Qualifications/ Requirements:
  • Bachelor's Degree in relevant field or equivalent experience.
  • Minimum 3 years of experience in relationship and project management in a non-profit setting.
  • Minimum 5 years of experience performing administrative support within a fast-paced non-profit environment;
  • Strong organizational skills, communication, editing, and interpersonal skills;
  • Excellent customer service skills
  • Advanced skills in the use of Microsoft Office Suite, specifically Word, Excel, PowerPoint and Outlook;
  • Excellent follow-through skills to ensure all deadlines are met;
  • Highly attentive to detail;
  • High level problem-solving and procedure development skills
  • Ability to manage multiple tasks simultaneously;
  • Reliable and flexible;
  • Resourceful, imaginative, self-motivated, proactive and able to relate to individuals in a team-like manner;
  • Travel; minimal
